Context

Redesign of an educational web platform used by teachers and administrators during the enrolment period. The system involves validating documents submitted by parents or guardians, such as birth certificates and proof of address.

Redesign of an educational web platform used by teachers and administrators during the enrolment period. The system involves validating documents submitted by parents or guardians, such as birth certificates and proof of address.

Challenge

The review process was manual and depended on the user's memory. Administrators had to download documents, open them externally and cross-check information against the system. This created a slow workflow, with a higher risk of errors and poor efficiency during periods of high demand.

Approach

I opted for a gradual evolution strategy, distinguishing real usability problems from learned behaviours, with strong technical alignment and continuous validation with experienced users.

I opted for a gradual evolution strategy, distinguishing real usability problems from learned behaviours, with strong technical alignment and continuous validation with experienced users.

Remove the download as a required step
Remove the download as a required step
  • The first version introduced a modal with the document view + data side by side, allowing validation without leaving the system.

Impact

Immediate reduction in friction and increased speed in the process.

For the freemium version, I restructured the solution into a side panel, keeping the information visible without interrupting the flow.

Trade-off:

Less visual space for the document and greater fluidity and adaptability for users

Add AI support in the premium version

To differentiate between the versions, I implemented an AI-assisted highlight, indicating whether the document data was correct. The solution was inspired by patterns in tools such as AI assistants, bringing familiar visual references.

Decision

Keep the user in control, using AI as support, not as a replacement.

Validation

The solution evolved from continuous feedback:

  • The modal was well received, but identified as an extra step

  • The side panel had better adoption and immediate acceptance

  • The AI version increased the perception of efficiency without compromising trust

Adopting the new approach led to the pattern being expanded to other product versions.

  • Better user adaptation to the new flow

  • Increased perceived value in the premium version

This project reinforced that:

Flows that depend on memory tend to cause errors and frustration

Evolving solutions based on real-world use delivers better results

AI adds value when it acts as support, not as a replacement
